We are looking for an outstanding Administrative Assistant, on a full-time basis, who is great at multi-tasking and enjoys a close-knit team environment. The ideal candidate will be highly motivated and excited by the prospect of working for a non-profit trust geared towards creating media that aims to transform lives through education and social change.
Key Responsibilities:
- General administrative tasks include:
- Managing all travel arrangements for GTS employees (flights, trains, accommodation)
- Courier coordination and management (local and international, including Fed-Ex)
- Maintaining office equipment and office supplies (computers, printer, paper, etc.)
- Managing GTS Director’s schedule, appointments, etc.
- Contract management – issuing contracts to all agencies we work with and maintaining records of all signed contracts
- Maintenance of inverter, coffee machines, and service contracts
- Keeping GTS store (books, movies, t-shirts, etc) in order
- Coordination with printer for all material for print
- HR activities include:
- Monitor attendance, late-comings, leaves
- Managing support staff
- Managing insurance-related activities
- Accounts activities include
- Maintaining GTS accounts (including petty cash expenses) and tallying
- Ensuring TDS is paid on time every month
- Preparing financial report with help from the GTS accountant
- All bank-related activities (getting clearance from banks, etc)
- Managing bills and payments
- Responsible for expenses and budget data
- Evaluation of at least 3 quotations before any purchase is made
- Payment of monthly rent, electricity, phone, and water bills
- Candidate should be able to commit to working with GTS for at least 1 year
- Candidate should be based in Delhi or willing to relocate
