Job Description
- Be informed of daily room status.
- Have detailed information regarding arrivals, their room requirements and expected departures of the day.
- Check-up VIP reservations and issue VIP amenities, voucher for fruits and flowers, beverages etc., and any other special requests.
- Prepare all records connected with pre-registration for all arrivals.
- Handle group / crew registration as per laid down procedures as well as individual arrivals. Check in CVGR through company master.
- Registering the guests and allocation of room on their arrivals.
- Maintain statutory records of all arrivals and departures, vis-à-vis C-forms, A & D Register etc. and make sure they are submitted to the government authorities in a timely manner .
- Constantly update room racks and information on the computer.
- Maintain room rates absolutely current and up to date.
- Prepare room discrepancy report and ensure a double check through Bell Desk.
- Give all departure room information to Housekeeping promptly.
- Follow up with housekeeping department regarding clearance of departure rooms.
- Sell higher priced rooms and other facilities through proper salesmanship.
- Courteously and promptly handle all reservation on phone or across the counter.
- Update the reservation records in order to have an updated inventory of room availability.
- Carry out amendments and cancellations of reservations intelligently and accurately.
- Prepare the room status for the coming month days ahead.
- Attend to the reservation queries on telephone, by person, by mail, e-mail, telegrams etc.
- Fill in reservation forms, feed in reservation on computers and file reservation forms and other related correspondence in month-wise, date-wise files.
- Handle scanty baggage and walk-in guests diligently.
- Know room history namely, location, view, bed arrangement, rate, theme (if any), etc.
- Distribute room keys to registered guests in the hotel in proper and authorized hands only.
- Answer incoming calls and records all messages.
- Handle all guest mail, information, packets & parcels and messages as per laid down procedures.
- Answer queries on in-house facilities and places of tourist interest.
- Maintain proper entries and records in the logbook for guest and staff information and communication. Monitor and control room keys at the time of departure in proper coordination with the cashier on duty and bell desk.
- Any other jobs assigned from time to time by the management .

Desired Candidate Profile
- Graduate/Diploma in Hotel Management
Experience :
- Front Office / Guest relations experience for at least 2 years .
- Handling reservations and group bookings
Knowledge/Skills :
- Basics of Accounting .
- Working knowledge of MS Office, Fidelio , IDS (or any other property/ point of sale systems)
- Room Pricing & Selling techniques
