AGRI-FOOD-FLOWER FEST 2013
Purpose :-
The purpose of this EOI is to short list qualified Event Management Groups for entrusting the work of organizing an Agri-Food-Flower Fest 2013 in the Calicut University Campus from 7th to 11th February 2013. It is also intended to include a Book Fest and Designer Garments Fest along with the Agri-Food-Flower Fest 2013.
The Event Management Groups should ensure the participation of private and other established firms in the field of agricultural, food, flower, books etc. in the Fest and the participating firms can exhibit their products and services in the Fest.
The University will provide only space for conducting the Fest and all other infrastructural facilities like arrangement of stalls, lighting, transportation, advertising etc. will be arranged by the Event Management Group.
The University will ensure the participation of affiliated Catering Colleges, Home Science Colleges, Costume & Fashion Designing Colleges, University Teaching Departments and affiliated Colleges of the University. The University will extend help in getting the participation of Government Departments in the Fest.
The Fest will also hoist competition in various items like Dessert making, Vegetable & Ice Carving, Flower arrangements, Salad-Mocktail, Ethnic Food items, Cooking without fire, etc. and exhibition by Catering & Home Science Colleges and Costume & Fashion Designing Colleges. There will be entertainment programmes everyday in the evening. There will be prize for the best stall.
Eligibility :-
** The Event Management Group should be well experienced in conducting and organizing such events.
** Should have working office in Kerala.
** Firms black listed in any respect by the Government/Quasi Government organizations need not apply. An affidavit attested with respect to non-black listing shall be submitted.
** Credibility and competency will have emphasis for selection along with highest percentage of profit sharing.
** The decision of the Vice Chancellor will be final and the University reserves the right to reject any application without assigning any reasons.
Submission of Application :
** University of Calicut may disqualify the applicants at any stage for the following reasons.
a) Non-fulfillment of above qualification conditions.
b) Incomplete/part information/misinformation (without supporting proof)
c) Exerting external influences
d) Late EOI applications
** The Vice Chancellor, University of Calicut reserves the right to accept or reject any or all the applications without assigning any reasons thereof.
** The EOI in sealed cover along with all necessary documents duly numbered shall be sent to the undersigned through registered post or speed post only so as to reach on or before 3PM on 27.12.2012.
** The EOI will be opened on the same day at 3.30PM.
TERMS AND CONDITIONS :
1. No electricity and water will be provided by the University.
2. Water will be provided only for the catering purpose.
3. Entry will be restricted by collecting a fee of Rs. 20/- for adults and Rs. 10/- for students. No entry fee for children below 5 years.
4. Gate collection will be through bank.
5. Waste should be disposed off as per the directions of the University.
6. Certificates and prizes should be at the cost of the Event Management Group as per the directions of the University.
7. All the cultural programmes and stage programmes can be performed only with the prior approval of the Organizing Committee.
8. Volunteers and security staff will be provided by the Event Management Group.
9. Permission from Electrical Inspectorate regarding the safety must be obtained by the Event Management Group.
10. Volunteer/Official badges will be provided by the Event Management Group.
11. Entry Pass must be printed by the Event Management Group and the same will be stamped by the University.
12. After the conduct of Fest the entire premises should be made neat and clean.
13. University will not be liable for any damage caused by the Event Management Group.
14. The profit sharing percentage must be specifically recorded in figure and words.
15. Insurance cover provision must be ensured.
16. Caution Deposit will be decided on negotiation.
17. An agreement shall be executed on finalization of the tender.
18. A minimum of 15 stalls must be made available free of cost to the University for allotting to Govt./University Departments.
