JOB PROFILE : As both the purchase and stores Departments, are functioning under one roof, I have had the opportunity in gaining much knowledge in total Materials Department’s activity.
STORES
Receipts : Inspecting the material along with the related documents accompanied with and updating of purchase orders, offering the materials for Inspections both Departmental and customs purpose (only for material procured under CT3). Preparation Goods Receipt cum inspection reports, follow up with the Technical and quality control departments along with test certificates etc. Preparation of interaction with accounts department and arrangement of accepted materials in their respective bins/location etc. Tagging of the materials as per the ISO specifications, codifications and entering in Bins (Bin Card Systems), Segregation of Shelf Life Items, and preparation of Shelf Life items Register etc.
Preservation : Depending on the nature of the items, preservation methods are adopted such as greasing, oiling, powder treatment etc.
Issue : Since we have shelf life items and such other sensitive materials FIFO method is adopted to avoid expiry and outdate of the material, Maintenance of Material Issue Register, Entering in the Bins. Identifying the materials whose shelf life is nearing and follow up with Quality Control Department for necessary advice and action.
Inventory Control : Fullest utilization of the Materials, Monitoring of Minimum stock levels with planned reorder levels at perfect lead time, indenting at correct time to the correct party at a competitive price would help in the fullest utilization of the financial resources of the company and also avoids unwanted inventory leading dead capital. Close monitoring with stocks, issue by FIFO basis and perfect preservations are some of the reasons of successful stores management follows
PURCHASE :
Cash / Indigenous : Collection of quotations based on the enquiries from approved vendors. Participating in commercial negotiations, processing of comparative statements, preparation of purchase orders, follow up with the vendors, arrangement of transportation, liaison with Government and Non-Government offices for various works as our unit is located in export processing zone.
Import : Obtaining of quotations from imported vendors based on the requirements, follow up for dispatch details. Interaction with accounts for opening of letter of Credits/TT etc. Organizing of freight forwarders for lifting of materials overseas. Negotiations with C & F agents etc.
ACHIEVEMENTS :
Stores Lay Out : As i am from the Project stage in M/s. Synergies – Dooray Automotive Ltd., I had the opportunity in planning the stores Layout, Racking Systems and introduction of Bin Card System.
CODIFICATIONS : Codifications of items department wise and also upon the nature of the materials for about 5,000 items was successfully done by me individually which was also accepted by our BaaN ERP system, which is about to be on line.
