OFFICE MANAGER
The role :
Under the general supervision of the Managing Director (and later : the Marketing Manager), the Office Manager is responsible for the daily support of operations inside the office. This includes the management of the office building, the reception of clients and ensuring that the office systems (including IT and telecom) work.
The Office Manager gives direct and full service support to the Managing Director, for example during meetings or events, and in such situations acts as an important Personal Assistance. Further, the Office Manager communicates directly and effectively with all the people in the office and ensures that the office runs smoothly, also when other Senior managers are not around. Other assistants, like the office peon and cleaning staff, report to the Office Manager directly.
The main responsibilities :
1. To answer telephone calls and take clear & concise messages.
2. To implement & maintain filing system, to ensure that information is easily accessible at all times.
3. To provide secretarial assistance to the Directors, also by tel/email when they are not in the office.
4. To ensure that all office systems are working properly and supervise any repairs.
5. To liaison effectively with colleagues and foreign customers.
6. To organize administration : office bills, purchasing office supplies, dealing with suppliers (telecom support, postal services).
7. To feed office bills into Tally or Excel.
8. To inform the directors on a weekly basis about office activities.
9. To ensure that staff is filing time-sheets and other reporting systems.
10. To maintain confidentiality at all times.
11. To supervise office peon, cleaning, canteen/catering, etc
The required educational background :
Bachelor degree in commerce, business or similar
Computer diploma or proven skills (Email, Word, Internet, excel)
The required professional experience :
About 3-5 years relevant work experience
Very good commercial communication skills.
People & result oriented
Excellent English writing & speaking skills
Spoken Hindi & Kannada skills
Specific knowledge :
Computer skills (PowerPoint, Tally)
Short hand for dictation, or very fast typing skills
Foreign travel (Western countries) experience
Timings :
40 hours per week, Monday to Friday, 9.00am 6.00 pm.
