    Job Description
    The Administrative Assistant's tasks include:
    Administration work
    1. Enquire and receive competitive quotation from non IT vendors
    2. Prepare purchase orders and send them to the respective vendors.
    3. Prepare all vouchers for all kinds of payments.
    4. Arrange for all monthly payments like rent, telephones and electricity bills, etc., verifying all bills and remitting the payments on scheduled dates with the concerned individuals/institutions/banks.
    5. Attend to all office maintenance issues like janitorial service arrangement, renovation & repair work, etc.
    6. Prepare pay slips for salary payments to the respective staff.
    7. Employees Provident Fund (EPF): Prepare wage register, calculate the EPF amount and remit the payment in the bank. File the bank challan at the PF office.
    8. Prepare necessary papers for Employee State Insurance remittance and file with ESI department.
    9. Prepare necessary papers for payment of Professional Tax to the Government.
    10. Carry out arrangements for monthly review meetings & snacks, tea and meals and also disbursing conveyance amount to all operators.
    11. Maintain leave registers for all staffs and operators.
    12. Prepare delivery challans for all products sent from Chennai Office to centres and arrange for its safe dispatch through other staff members, postage, etc.
    13. Arrange for transportation as and when needed by staff. Manage travel arrangements: air, hotel, conferences, reimbursement

    Accounting work
    1. Remit Tax Deducted At Source along with necessary forms in the bank.
    2. Prepare the necessary vouchers and send them to the respective centres along with payments. Follow-up with the operators regarding the receipt of the amounts and vouchers
    3. Maintain asset register and purchase register with time-to-time update.
    4. Review Daily Cash Reports to tally cash collected/deposited from the centres and accordingly update the records.
    5. File all vouchers in the appropriate files month or subject wise with proper enclosures.
    6. Assist in Tally entries
    7. Carry out month-end inventory at centres and prepare stock valuation statements centrewise.
    8. Handle banking transactions including remittances, checks, cash deposits, bank balance, withdrawals, etc.
    9. Follow-up on bills and receipts
    10. Raising bills/invoices for franchisees/other institutions and follow-up on payments.

    Desired Candidate Profile
    -- Graduate/Post Graduate in Commerce or any other equivalent degree
    -- Must have had prior experience in accounting or administration work
    -- Proficiency with computers and Internet, MS Office and Tally
    -- Capable of drafting correspondence and reports
    -- Excellent communication, people-oriented and inter-personal skills
    -- Excellent written and oral communications
    -- Must be able to read, write and speak in Tamil and English. Any other language would be an added advantage
