Job Description
Job Summary :
To guarantee the highest level of quality of our work environment by giving full consideration to activities in iie Technologies, Ltd. The person who fills this position is an important member, contributor and is responsible for all office deliverables.
Responsibilities :
* Office daily routine work, administration and correspondence.
* Documentation and filing.
* Co-ordination with all engineers for travel, accommodation and other needs.
* Maintain proper records of Consumables & handle all maintenance work.
* Coordination with all departments to ensure scheduled project delivery.
* HRD Functions - Employee Attendance, Leave Records & Movement Register.
* Handling incentives, Night shift allowance and other incentives.
* Collection of payments due to the company.
* Managing Administrative key activity areas Canteen, House Keeping, Security services and transport and logistics.
* Supervising Facilities Management and Asset Management activities.
* Coordinating with contractors/service providers for negotiating and executing rates and agreement.
* Maintaining relevant records for payments to ensure that service provider’s payments are executed on time.
* Facilitating improvement in operational efficiency and reduction in operation costs through better process planning, Maintaining complete documentation and records.
* Conducting surveys and feed back sessions to measure the satisfaction level.
* Guide, monitor and report the activities of regional branches.
* Appoint new stockiest and identify new markets.
* Track competitors’ strategies and deploy counter efforts.
* Resource procurement, allocation & deployment.
* Coordinate with vendors/ suppliers for computers, consumables, terminals, connectivity etc.
* G&A expenses related to the branch.
* Inventory management.
* Man Power Planning
* Employee Exit Interview.
* Allotment of workspace, accommodation and domestic traveling needs.
* Maintain the academic and fees details of students.
* Regional Office Correspondence.
* Facilities Management, Petty cash management.
* Purchase of stationery course materials & other consumables.
* Allotment of batch timing and faculty allocation.
Skills Required :
* Experienced in general administration, facility management, client co-ordination, vendor management, Travel & Accommodation.
* Mapping the organization’s / clients requirement and spearhead decisions with regard to product delivery.
* An effective communicator with exceptional relationship management and problem solving skills.
