    Job Description:
    POSITION TITLE : Customer service
    POSITION CLASS : 44-49

    NATURE & SCOPE
    • System related activities:
    o Acknowledgement/confirmation of booking in system within 2 hours/4 hours respectively.
    o Daily booking management to ensure unutilized bookings cancelled within 5 working days.
    o Regular customer follow-up to ensure that the unutilized bookings are utilized within 5 days.
    o Ensure vessel effective vessel management and ensure bookings are transferred to subsequent vessels in case of late handover/delay in railment
    • Trans shipment point follow-up:
    o To ensure that all units lying at transshipment point beyond 7 days are followed proactively followed up and onward connection obtained.
    o Liaise with capacity desk in case of capacity constrains.
    • Attend to queries within stipulated time frame.
    • Special follow up on bookings which are hazardous in nature to ensure all relevant details are obtain and tasks completed to ensure loading from first/subsequent port of loading.
    • Ensure timely posting of invoices completed, attend to customer queries pertaining to same and ensure correction within 24 hours.
    • Posting and collection of all charges in the system
    • Follow-up on longstanding export/import containers.
    • Handle external and internal communication

    MAJOR ACCOUNTABILITIES
    Activities – Weight age:
    • System related activities - 20 %
    • Transhipment point follow up – 10 %
    • Attending to queries on the system within stipulated time frame– 10 %
    • Follow-up on hazardous bookings - 5 %
    • Timely posting of invoices and attend customer query - 10 %.
    • Posting and collection of charges in the system - 10 %
    • Follow-up on longstanding containers - 10 %
    • Attending to mails and proactive communication to customers, for example, client advisories - 10 %
    • Co-ordination – 5% :
    Order handling will collaborate with service/product delivery to benchmark service standards based on which commitments are delivered. They need to ensure that service commitments/standards are delivered with respect to counter activities. To achieve close co ordination with SSC/CCC and relevant desk to be worked out for smooth service deliveries to customers.
    • E-Commerce – 5% :
    Order Handling/Documentation will also be responsible to sell ecommerce and promote ecommerce use by our customers for efficiently, accurate delivery of Bills of Ladings and other services. They will propose areas that can be under Ecommerce purview and phase out mundane manual processes to improve efficiencies to line and customer. Targets set must be achieved.

    • Contingency Plans – 5% :
    Back up plans to provide seamless service to customers - both external and internal - is important. Access to data, sharing of information and follow up meetings must be ensured so that we don’t end up with in a position that we are non functional/responsive in the absence of people. Manual or alternative processes must be available in event of system failures to ensure service to customer is not affected.

    • Manage bookings on a daily basis.
    • Ensure customer satisfaction reflection in high customer service scores.
    • Focus on Data Quality
    • 100% Collection of XCRS/Detention Charges
    • Back up planning
    • Every Staff is aware of procedures and any subsequent changes.
    • Liaise where required with local authorities like customs. Concor etc.&
    • Ensure good administration of the office and maintain a high moral and motivation of the documentation staff.

    Language required - Bengali
    Experience in shipping/, logistics and other related industry is required
